A staff handoff that keeps your showcase current

Recognition projects often live in one person’s head, and when that athletic director or librarian moves on, updates stop. A planned handoff gives the next person the files, the access and the habits to keep adding new honorees and records.

Why it matters

When the project owner leaves, updates stop

New inductees go unadded and broken records stay up because nobody knows how the content was organized. The next person often starts over instead of picking up where things were left.

Ideas for Staff Handoff

A one-page project summary

Write down what’s in the showcase, where the source files live and who reviews new content.

Editor access for a second person

Give at least two staff members access, using staff permissions so each person sees what they need.

A source file location

Point to the shared folder with original photos, spreadsheets and scans, not a personal drive.

An annual update calendar

List when new content usually arrives, such as after each season or induction night.

Your style decisions

Pass on choices about name formats, captions and which sources win in a conflict.

Rocket contacts and links

Include your customer success contact and the data-entry form link for bulk updates.

How it works with Data Entry & Project Management

Staff Handoff, step by step.

Three steps

  1. Keep content current in the editor

Staff can add and update content in Rocket’s editor, so small changes don’t need a new project.

  2. Send bulk updates through the form

Existing customers submit bulk content through the data-entry form: describe what to upload, share a Google Drive link and add any special instructions.

  3. Review new entries the same way

The new owner checks names, dates and photo permissions on new entries, just as the first launch was reviewed.

Setups vary by school; your demo confirms what yours will use.

Staff Handoff tips

  1. Hand off before the last week

Walk the next person through the editor while the current owner is still around to answer questions.

  2. Move files off personal drives

Keep source material in a school-owned shared folder so it doesn’t leave with a person.

  3. Introduce the new owner to Rocket

Let your customer success contact know who’s taking over so questions reach the right person.

  4. Do one update together

Add a new honoree or record as a pair, so the new owner has done it once before working alone.

Questions

Staff Handoff questions

Include a short summary of the content, where source files live, who reviews new entries and when updates usually happen. Make sure the new owner has editor access before the current owner leaves.
